Adjusting Notification Settings
Document notifications are used to inform customers of the fact that their documents (invoices, debit memos or credit memos) are released. Messages are sent automatically when a document is released.
Notification settings define the following parameters:
- How often customer will be notified of overdue balance.
- Notifications to be sent to notify customer about overdue balance, documents release, and when a customer places an order, or any document in the CP and clicks Send Notification.
- URLs to CCP, provider's site, and logo. These values are used in notifications body.
- Templates used for various types of notifications.
How To Resend a Notification
- An AR document notification can be re-sent by provider. Provider can:
- resend any of the sent messages,
- resend the latest message,
- re-create a message for contacts currently specified in a customer account information and send it.
- The last variant makes sense if a customer contacts have been changed lately. All notifications sent for an AR document are available under the Notifications Log tab within a document properties. Provider can select one or more notifications and click the Resend message button.
- The latest sent messages and messages with updated contacts can be sent under the View Invoice (for an invoice), View Credit Memo (for Credit Memos), or View Debit Memo (for debit memos) tab within an AR document properties. To resend the latest notification, click the Resend Latest Notification button, to re-generate a notification with the latest contacts specified in a customer account profile, click the Send New Notification button.
To configure what notification templates are to be used to sending the respective AR documents notifications:
- Open System > Settings > Notifications > Common Notification Settings. The notification settings panel is displayed.
- Click Edit. The editing notification settings form is displayed.
- Fill in the following fields of the General Settings for notification management:
- Overdue Notification Interval (Days) – Specify the period (in days) that defines how often the overdue notification messages is to be sent to a customer. The notifications will be sent once in the period of time specified.
- URL to customer Control Panel – Type the URL of CCP. The easiest way to specify CCP location is to use the "@@Vendor_Account_URL_to_CP@" placeholder.
- URL to your web site – Enter the URL of the customer's web site. The easiest way to specify this URL is to use the "@@Vendor_Account_URL_to_Web_Site@" placeholder.
- URL to your logo – Enter the URL of the customer's logo. The easiest way to specify the URL of the logo is to use the "@@Vendor_Account_URL_to_logo@" placeholder.

Fill in the following fields of the Notification Templates settings:
- Email Confirmation Template – Click
next to the field. From the window that opens, select a notification template to be used for a user email address confirmation.
- Overdue Notification Template – Click
next to the field. From the window that opens, select an overdue notification template.
- Credit Hold Notification Template – Click
next to the field. From the window that opens, select a template to be used to send a notification in case an account has been put on credit hold (the customer has unpaid invoices, the credit limit is exceeded). On credit hold all subscriptions owned by an account are suspended after grace period is over. An account can be put on credit hold either manually by provider or automatically.
- Order Notification Template – Click
next to the field. From the window that opens, select a template to be used for the order notification sending.
- Invoice Notification Template – Click
next to the field. From the window that opens, select a template for the invoice notifications sending.
- CM Notification Template – Click
next to the field. From the window that opens, select a template to be used for the credit memo notifications sending.
- DM Notification Template – Click
next to the field. From the window that opens, select a template to be used for the debit memo notifications sending.
- Payment Notification Template – Click
next to the field. From the window that opens, select a template to be used for the payment notifications sending.
- Refund Notification Template – Click
next to the field. From the window that opens, select a template to be used for the refund notifications sending.
- 3D-Secure Notification Template – Click
next to the field. From the window that opens, select a template used to send notifications messages if a customer uses the 3D-Secure payment system.
Note: If one of the templates is not selected, the respective document notifications will not be sent.
- Email Confirmation Template – Click

Fill in the following fields of the PDF Templates settings (these settings are necessary to enable sending to a customer notifications in the PDF format):
- Invoice PDF Template – Click
next to the field. From the pop-up window that opens, select a template that is used to send the invoice notifications converted into PDF.
- CM Notification Template – Click
next to the field. From the pop-up window that opens, select a template that is used to send the credit memo notifications converted into PDF.
- DM PDF Template – Click
next to the field. From the pop-up window that opens, select a template that is used to send the debit memo notifications converted into PDF.

Payment PDF Template – Click
next to the field. From the pop-up window that opens, select a template that is used to send the payment notifications converted into PDF.
Important: Setting this PDF template is mandatory to enable the PDF conversion of documents for the mass printing. Refer to the Mass Printing of Documents section.

Refund PDF Template – Click
next to the field. From the pop-up window that opens, select a template that is used to send the refund notifications converted into PDF.

- Invoice PDF Template – Click
- Click Save to confirm changes.
