Managing Credit Card Expiration Notification

Credit card expiration notification is sent to customers before or/and after credit card expiration date. Credit card expiration notification schedule defines how many times and how early this notification is sent.

For the fresh Billing installation, the default credit card expiration notification schedule and notification template is provided.

To add credit card expiration notification schedule:

  1. Open System > Settings > Notifications > Credit Card Expiration. The list of credit card expiration notification schedules appears on the screen.
  2. Click Add New Credit Card Expiration Schedule. The adding new notification schedule dialog window is displayed.
  3. Input a notification schedule name into the Schedule Name field.
  4. Click Save to finish creating notification schedule.

After a schedule is added, it is possible to configure notifications sending schedule called schedule details. Each detail in this case is a rule defining when and how a notification is to be sent. One detail defines a one-time notification send. Notification schedule consists of one or more details that allow scheduling notification sending.

To add a credit card expiration notification schedule details:

  1. Go to System > Settings > Notifications > Credit Card Expiration.
  2. Select a notification schedule by clicking on the respective link in the Schedule Name column. Selected schedule properties appear on the screen.
  3. Switch to the Schedule Details tab. The list of schedule details already attached to the notification schedule appears on the screen.
  4. Click Add New Schedule Detail. The adding new schedule detail dialog window is displayed. Fill out the form:
    • Select the option from the Send Time group:
      • Before Expiration. Select this option to send notification before credit card expiration date.
      • After Expiration. Select this option to send notification after credit card expiration date.
    • Enter how many days before or after (depending on your Send Time selection) CC expiration date a notification is to be sent into the Days field.
    • Click the icon next to the Notification Template field. From the window that opens select the notification template.
    • Select which credit cards expiration will be the reason for notification send from the Applicable To list:
      • Only Credit Cards used as default. Notify about expiration of credit cards used for recurring payments.
      • Only Credit Cards not used as default. Notify about expiration of credit cards not used for recurring payments.
      • All Credit Cards. Notify about expiration of all credit cards saved in Billing database.
    • Select the Active check box to let the detail work and notification be sent according to this sending rule.
  5. Click Save to save changes.

For credit card expiration notifications to be sent, a credit card expiration notification schedule is to be assigned to a customer class. Customers of this class will receive CC notifications.

Any of the customer classes can be attached to or detached from a credit card expiration notification schedule.

To attach/detach customer class to/from credit card expiration notification schedule:

  1. Go to System > Settings > Notifications > Credit Card Expiration
  2. Select a notification schedule by clicking on the respective link in the Schedule Name column. Selected schedule properties appear on the screen.
  3. Switch to the Customer Classes tab. The list of customer classes associated with the selected notification schedule (if any) appears on the screen.
    • To detach customer class(es), select respective checkboxes next to customer classes names. Click Detach Customer Class.
    • To attach customer class(es), click Attach Customer Classes. The list of customer classes available appears on the screen. Mark the customer classes you want to attach by selecting respective checkboxes next to customer classes names. Click Attach Selected Customer Classes.

To associate credit card expiration notification schedule with a customer class:

  1. Go to System > Settings > Customer Classes.
  2. Select a customer class by clicking on the respective link in the Name column.
  3. Click Edit. The selected customer class settings appear for editing.
  4. Assign a credit card expiration notification schedule:
    • Click [...] next to the Credit Card Expiration Notification Schedule field.
    • From the window that opens select credit card expiration notification schedule.
  5. Click Save to save the changes.
