Erasing Personal Data
To be able to erase a user's personal data from CloudBlue Commerce, the GDPR application must be installed. You will also need to find that user's ID.
Important: Erasing personal data using this functionality is only possible if an account exists in both Operations and Billing. Accounts that exist only in Operations or Billing must be processed manually by erasing personal data in their profile.
To erase a user's personal data from the system, complete the following steps:
- Log in to the Operations Control Panel.
- Go to Services > Data Protection.
- Enter the Customer or user ID and click Search. The applicable information about that user will appear.
If it can be done, you will see following line:
Can be erased Yes
If the account cannot be erased, you will see a message similar to:
Can be erased No (Account should have only one user.)
or
Can be erased: No (Not all users scheduled.)
Note: In parenthesis is the reason why the personal data of that user cannot be erased. Eliminate what is blocking data erasure to proceed.
- Make sure that this account can be erased.
- Click Erase Personal Data.
- Specify the delay for the data erasure (in months). Specify '0' if you wish to erase the data immediately (during the next execution of the respective task, which runs daily).
After that, the data will be erased after the period that you have specified as the delay.
Note: After the erasure procedure takes place, the respective data will be anonymized. Please pay attention that the Exist(s) status will be displayed in the system for the following fields:
- Audit Information in Billing for User and Documents,
- Domains Data in Billing,
- Transactional Data in Billing,
- Technical & Web Operation Data in Billing for Account.
Important: This mechanism erases personal data in almost all components of CloudBlue Commerce. However, some modules will still keep the user's personal data. You will need to take additional actions, to erase the data from those modules too. For details, refer to the Erasing Personal Data in Other Modules section.
