Synchronizing Multiple Subscriptions with the Service Plan

After changing a service plan, it may be necessary to make the same changes to subscriptions. However, to avoid unwanted changes, it is important to prepare subscriptions for synchronization.

Before Synchronizing Subscriptions

Before synchronizing service plan changes to subscriptions:

  1. Make sure that the necessary subscriptions are ready:
  2. Study the synchronization procedure and choose the appropriate combination of settings. If necessary, synchronize individual subscriptions separately.

Freezing Subscription Prices to Avoid Accidental Price Updates During Synchronization

Subscription prices may be updated when subscriptions are synchronized with service plan changes.

To avoid accidental price updates for a subscription:

  1. Go to Billing > Operations > Subscriptions. Click the necessary subscription.
  2. At the bottom of the page, click Edit.
  3. In the Subscription Prices section, select Freeze Prices. Save the changes.

Important: If a subscription is switched to another service plan, the Freeze Prices option is automatically reset to Disabled (the default value).

Synchronizing Service Plan Changes to Multiple Subscriptions

To synchronize service plan changes to subscriptions:

Warning: To avoid unwanted price changes, before synchronizing subscriptions, make sure that you freeze subscription prices.

  1. Go to Products > Service Plans. Click the necessary service plan.
  2. At the bottom of the screen, click Update Subscriptions. Complete the fields:
    • Select: Choose subscriptions to update:
      • All Subscriptions: All subscriptions to the service plan will be updated.
      • Active Subscriptions: Only active subscriptions to the service plan will be updated.
      • Non-active Subscriptions: Only inactive subscriptions to the service plan will be updated.
    • To synchronize subscriptions whose start date falls within a particular interval:
      • Start Date after: Click and complete the date. Only subscriptions with the start date after the selected date will be updated.
      • Start Date before: Click and complete the date. Only subscriptions with the start date before the selected date will be updated.
      • Note: You can set either one or both or none of the fields.

    • Update Subscription Prices: Select the checkbox to synchronize subscription prices with the service plan.
    • Update Subscription with frozen prices: You can select this option only if Update Subscription Prices is selected.

      Warning: If you select this option, subscription fees and resource fees will be updated even for subscriptions with frozen prices.

    • Update Notification Schedule: Select the checkbox to synchronize the subscription notification schedule with the service plan.
    • Update Subscription Service Terms: Select the checkbox to synchronize the subscription service terms with the service plan.

      Important: This setting does not affect the automatic renewal policy of a subscription after the customer changes the automatic renewal settings manually (by clicking DISABLE AUTOMATIC RENEWAL or ENABLE AUTOMATIC RENEWAL in UX1 for Customers).

    • Install new resource(s): Select this option to add new resources from the service plan to the subscription. Scenarios and system behavior are regulated by the Install into Provisioning System setting.
    • Remove obsolete resource(s): Select this option if, after the vendor changes the service in the vendor's system, certain resources must be removed from subscriptions.
    • Update Prices: Select this check box to synchronize subscription resource prices with the service plan. If resource rate periods are configured, resource prices are updated in subscriptions only if prices are modified in resource rate period configurations of the service plan.
    • Update Limits: Select the check box to synchronize subscription resource limits with the service plan.
    • Propagate to Provisioning System: This setting applies only when Install new resource(s) is enabled. This setting has the following values related to the corresponding synchronization scenarios:
      • Not install: Select this value if you must manually add new resources to subscriptions in CloudBlue Commerce after the vendor changes the service because changes in the vendor's system are not automatically propagated to CloudBlue Commerce (the system integration solution does not support such propagation).
      • Immediately: Select this value if you want to add new resources to the service plan, request the vendor to allocate corresponding resources in the vendor's system and synchronize the changes to subscriptions (during synchronization, CloudBlue Commerce sends resource allocation requests to the vendor's system).
  3. Click Synchronize. For each subscription, a separate synchronization task, Synchronize Subscriptions, is automatically created (processed asynchronously by Billing).

Warning: If you open a service plan, go to Edit> Billing Terms, and then you edit the "Set Recurring Prices per" option for a service plan, changes will be propagated only to new subscriptions. Existing subscriptions will not be affected.
To modify the "Set Recurring Prices per" option for existing subscriptions, you need to create a new service plan with the required configuration, then assign it to the existing subscriptions using a change order.

Synchronization Status, Result, and Troubleshooting

For each subscription, a separate synchronization task, Synchronize Subscriptions, is automatically created. Corresponding statuses are listed in the table.

Important: Subscriptions in the Synchronizing status cannot be modified. When you access such subscriptions in UX1 for Customers, the subscription modification functionality is disabled. API requests to modify such subscriptions return errors. No orders can be placed for such subscriptions.

Failed synchronization requests are retried automatically by a periodic task, Restart Failed Synchronization Requests.

To troubleshoot a failed subscription synchronization request and restart it manually:

  1. Go to Billing > Products > Service Plans. Click the necessary service plan.
  2. Switch to the Synchronization Requests tab.
  3. Click the necessary failed request. Switch to the Subscriptions tab.
  4. Click subscriptions with the Failed status. Study the error messages. Troubleshoot as necessary.
  5. Return to the General tab of the request profile. Click Restart Synchronization.
